Begin with the people, not the room list

Describe seasonal camping accurately

The traditional campsite is generally open from Easter to autumn. It has grass pitches, electric hook-up, drinking water, Elsan disposal, showers and toilets. Its riverside character is part of the appeal, as is its outdoor simplicity.

Tell guests that this is a real campsite with shared facilities and weather-dependent conditions. Ask the venue which pitches or hook-ups are available and whether current complimentary-camping wording applies to your particular hall booking.

Give everyone another route home

Five rooms and a campsite will not suit everyone. Research local accommodation and transport early, especially if the celebration ends late. Rural taxi availability can be limited and should not be assumed.

Make clear who is responsible for booking transport and whether any arranged service has fixed departure times. Never encourage guests to drive after drinking.

Send one reliable information note

Once details are confirmed, give guests a concise note covering:

their exact room or camping booking process;
check-in and breakfast information;
campsite character and facilities;
